Project Administrator | Administrative Assistant
Job Summary
The Project Administrator | Administrative Assistant will perform a dual role supporting our President of Utah Operations as well as the project management process. This position will perform and assist with a variety of administrative, project management and accounting duties.
Essential Duties and Responsibilities
Project Administration Duties / Responsibilities:
- Project Startups and Closeouts
- Project Accounting and Contracting
- Supporting Project Managers
Administrative Assistant Duties / Responsibilities:
- Manage President’s calendar, schedule site visits, client meetings and efficient travel
- Schedule group and individual huddles, manage and schedule performance check-ins with team
- Coordinate group activities, order and arrange lunches
- Prepare monthly group review agenda, compile data, create reports and PowerPoint presentation
- Create and maintain client database
- Follow up on account receivables, email team to collect, track and report outstanding billings
- Ensure contracts are in DocuSign and send out
Additional Duties and Responsibilities
- Other duties and tasks as required
Education / Experience Requirements
- Degree in Business Management or similar a plus
- Experience in accounting and project management
- Experience in construction administrative support, or construction project management is preferred
Knowledge, Skills and Abilities Requirements
- Strong verbal and written communication skills
- Excellent documentation and organizational skills
- Proven computer skills and experience in Excel, Word, PowerPoint and Outlook
- Time Management skills

The noise level in the work environment may range from moderate to loud.
Works from a normal office setting; however, performs a significant amount of work in all spaces within the facility. May need to work outside in all types of weather or in all kinds of work environments.

Hazards
May be exposed to extremes of heat and cold as well as certain unsafe environments; occasionally works near moving equipment and mechanical parts, heavy machinery, lasers, powder-actuated tools, and electrical equipment; possible exposure to fumes or airborne particles; possible exposure to internal liquids. This is a safety sensitive position where a momentary lapse of attention can result in serious injury or death. The noise level in the work environment is usually moderate and occasionally very loud. Must follow all safety requirements carefully.
